For the past month CEPM has dedicated its office time to winter preparedness meetings with all of our customers. These meetings cover an array of topics, but most important, most emphasized, and most talked about is snow removal.
Things I’ve noticed during these meeting are shockingly simple:
Some of our customers aren’t familiar with the snow removal process, and that’s alright; most haven’t reviewed the scope of work, and that’s alright, some don’t know what services are included, and that’s alright, and most don’t know how to get to our office – which is not alright.
Let me make this clear; we don’t blame any of them for those things –
We blame ourselves!
Our job, besides making their communities shine, is to communicate with them. Troubleshoot with them. Problem solve with them.
Partner with them.
Expectations: The biggest task with pre-winter meetings is the expectations. Really, how do you say to someone, what do you expect us to do? Trust me, the answer seems like a no-brainer, and we’ve wanted to ask that a million times but never have. It doesn’t seem appropriate coming out of anyone’s mouth. But these pre-winter meetings that we have focused on allow for that very question to be asked – and answered - in extremely professional ways.
In order for us to succeed as a team we have to know what you expect of us. And you have to know what you can expect from us back. If we don’t, we go about our business how we think it should be completed while you watch in hopes that we do it the way you want it done. Neither of us is happy. Relationship is strained.
When we are on the same proverbial page, neither has to guess.
Communication: It’s been amazing how much gets lost in translation. We assume the answers to some questions, customers assume different answers to the same questions and neither asks the other. An example would be, we plan on returning for some snow clean-up in 24 hours; our customer thought we were going to do that in the same visit. Nobody communicated or asked about what the process was.
We want to know the answers to these questions now. Before the snow falls. Not after the snow is done falling. We’ve been in the snow-pushing industry for long enough to know what the questions will be, so instead of waiting for it and talking about it later, let’s communicate today. This way, we know and you know what to expect.
Scope: During our meetings we prepare ourselves by reviewing the scope of work that you have agreed to by signing it. We bring it to the winter meeting and break it down with you. So, it really doesn’t matter if you know it yet or not, even though you should, because we will review it on the spot. Together. If you believe that a certain service shouldn’t be done with a return trip invoice, share it now. We’ll tell you why it is or isn’t covered and we’ll all agree on how to proceed.
Lay-out: We provide an aerial photo of your entire community. You have a CEPM provided pen and I have a CEPM provided pen and together, we draw all over it! We identify snow pile locations. We identify sidewalks. We identify any areas that get super slick and need more salt than usual. We mark our map, make a PDF for you and deliver it to your site.
We invite you to visit our office. We schedule at your convenience. Your account manager is there, our Director of Operations is there. Our Vice President is there. When I say that everyone is on the same page, that’s no lie.
Why, do we do all of this? Genuine care. We truly want to provide the best quality of work, while upping the ante on customer service.
We think it’s important that you have the exact same diagram and location map that we have. If there are any questions, call us, but now you can also look at the very diagram that we are looking at to discuss our options.
Plus, we have candy.

It's a great day to work!
So great, in fact, that we decided to do just that. Work.
The Gazebo has been marked and flagged to scale, per diagram. This is significant because now that the Gazebo is flagged and in place, we can start doing whatever else needs to be done. The Gazebo doesn't have to be built for us to continue.
We've given the green light for the first steps of Irrigation, the first steps of electrical wiring, and the green light for landscaping to start:
The first boulders have been set and there is no stopping us now, other than Tropical Storm #2. That storm isn't in the forecast, so we are moving like gang-busters!
So, what is the next step with so many projects happening at the same time, all in an effort to complete one major project?
As it happens to be, the job-site is divided into two halfs: East, and West. Landscaping is happening on the East completely separate from the other three simultaneous projects.
On the West, we have the Gazebo going up (as we speak):
Next to the Gazebo the irrigation crews have already threaded through the ground and set sleeves up and under the asphalt walking path. At the same time, the electritions are digging their trenches to set-up lighting at the Gazebo and outlets for both WaterFeatures that are going to be installed in the next couple weeks.
The process has been extremely smooth. We've taken our time. We've made sure quality comes before speed. And we've ensured all areas that need city approval, have been city approved.

YA GOTTA LOVE LIVE THEATER !!
As it always goes, right smack dab in the middle of our best performance of the season, a rain delay. This wasn't a typical three hour rain delay that would set us back three simple hours.
This delay was nearly tropical storm proportion:
The amount of water that fell from Tuesday-day, thru Friday afternoon was enough to flood out our own ground zero. We can play in the rain, but not this type of rainfall. My guess is that even if we had a bat, a ball and 42,000 people watching it still would have been too much rain to continue.
However...
We are prepared for moments like these and it doesn't include a towel and suntan lotion. Let's work harder to make sure that the water only delays us by days, not weeks.
So we did.
We pumped that water out as fast as it dropped itself in. Okay, not that fast, but pretty fast. We worked harder to shape the conditions instead of letting the conditions shape us. It worked and we were able to clear out the entire area for the footing inspection that was due in just 2 days.
